INFORMATION FOR EXHIBITORS

Booth selection for the 2023 COS Annual Meeting Exhibit Hall will begin in early 2023. Please reach out to Christine Bruce at cbruce@cos-sco.ca to add your name to the distribution list to receive an email when booth space is available for purchase. Space will be available on a first come, first serve basis and Annual Meeting & Exhibition sponsors have priority selecting booth space. IMPORANT NOTE: SPACE ASSIGNMENT

Please note that planning for an in-person meeting during a pandemic creates unique challenges. While COS will make every effort to ensure that selected booth location is accepted, it is important to note that final placement of companies’ booth will be determined by COS in order to best maximize the space, traffic flow and take into account the potential need for social distancing. Exhibits are assigned according to sponsorship levels, booth size, exhibitor requirements and efficient use of all exhibit square footage. 2023 sponsors have first option on booth location.

 

Important deadlines

March 3 - Cancellation of reserved booth space or tabletop

April 3 -    Final payment on booth rental

                 Submission of plan or “sketch” for island/peninsula display for approval

April 21 -  Request for hotel room drops

May 1 -    Request to distribute food and beverage in the booth

                Request to use COS logo 

                Approval of any incentive

                Booth staff registration

May 23 - Hotel reservations at group rate
